DOT audits are not a surprise. They are part of the rhythm of running a transportation company, and Anderson Coach & Travel knew theirs was coming soon. What they did not plan for was a safety and compliance leadership change right before an audit. A longtime manager left unexpectedly, and the new person stepping into the role had less than two months of experience when the audit notice came in.

This kind of transition is how cracks usually show up in an audit. Missing documents, inconsistent tracking, and last-minute scrambling to get audit-ready. But for Anderson Coach & Travel, this was the DOT audit they worried about the least. Because of Avatar DriverHub, driver qualification tracking was organized and current, even during a fumbled handoff. DriverHub ensured they stayed ahead of expirations and could walk into the audit with confidence.

The Real Test is Withstanding Changes

Every fleet has good intentions. The hard part is executing files consistently, across time, and across people. Audits do not just check whether you have the files. They reveal whether you have a system.

In practical terms, that means keeping Driver Qualification (DQ) files complete and current, tracking expirations before they become violations, and making sure critical compliance work is not reliant on memory or one individuals’ knowledge.

When an unexpected change in key leadership happens, flawless continuity is necessary. Avatar’s DriverHub delivers this.

That being said, the value of DriverHub does not simply begin at the audit. It starts where the DQ file starts: at the application process.

“We use DriverHub workflows on the candidate side to keep our hiring organized and consistent,” stated Evan Anderson, vice president of Anderson Coach & Travel. “Each team member has designated roles and duties, and the platform helps ensure follow-through, so drivers get hired the right way. That includes everything from drug tests to getting enrolled in the software systems we use to operate our business.”

A newly trained safety, compliance, and data manager said, “I came into this role with basically zero knowledge of what DOT requires in a driver qualification file. DriverHub made it clear what we needed, what was missing, and what was coming due. It gave me a roadmap right away on my first day.”

Workflow Continued Seamlessly During the Audit

Because of DriverHub, Anderson Coach & Travel’s audit did not disrupt normal operations. An hour was spent preparing the requested information for the auditor. The auditor completed the entry interview and met the staff all in under two hours.

The rest of the audit was simple, with minor questions and no repeated document requests. The auditor returned the following week, and performed an exit interview with his findings and recommendations.

“A big reason for that was access control and clarity,” said Evan Anderson. “We were able to provide the auditor a profile within DriverHub that limited them to only the drivers that were sampled, and only the documents they needed to see. That kept the process efficient, focused, and easy for everyone involved.”

Alignment Across Departments & Systems

Strong compliance tracking is only part of staying ready for an audit. The other part is operational alignment. As dispatchers create the schedule, they need to know, in real-time, who is cleared to drive and who is out of compliance. If systems do not communicate, gaps will show up at the worst times.

Anderson Coach & Travel addressed this by integrating the Avatar compliance program with their TBN Dispatch software using Initek Fleet Integrations toolkit. The feature runs a report that compares the drivers in multiple systems’ rosters in just a couple of clicks. It displays mismatches and it can push new users, missing, and mismatching information to dispatch software as well as Samsara Telematics from Avatar. Most importantly,  Fleet Integrations is automatically pushing the ever-changing expiration dates of licenses and medical cards from DriverHub to the dispatch software behind the scenes – without the need of user approval. This keeps the scheduling board continuously accurate, flagging the dispatcher of any driver who falls out of compliance in real-time.

As Anderson’s Coach & Travel’s operations manager put it, “Before this, we were relying on remembering an email across different departments. Now the systems stay aligned, and dispatch is not guessing. Communication is faster and more consistent because we are all looking at the same information.”

What Other Fleet Operators Can Learn From This

“Leadership changes happen, but compliance cannot wobble when they do. For us, the combination of daily workflows in Avatar as well as software connections through Initek made us not even quiver when we got the audit notice. That is why, even with a new key staff member, of the 4 DOT audits that I have been involved with, this was the one that I worried about the least," shares Evan Anderson, Vice President of Anderson Coach & Travel.
