Like a doctor reviewing bloodwork results, motor carrier Safety Directors should have 24/7 access to practical diagnostic information about the health of their business.

Are you on the right path? Do you need some work in certain areas? Whatever the case may be, these details should be transparent to you and available at all times.

Avatar’s new DriverHub Dashboard makes it easy to see the status of critical key performance indicators at a glance.

We’ve dialed in the tried-and-true recruiting and compliance metrics you need to be monitoring, and we’ve given them top billing on the Dashboard. You’ll have unmatched visibility into your business so you can adjust if need be, and you’ll never again have to go digging in paper files or spreadsheets to understand your department’s health status.

Let’s take a look at each indicator to learn how it can help you maintain compliance, grow your fleet and reduce accidents day in and day out.

DriverHub Dashboard Compliance Metrics

Compliance Metrics

Company Compliance

What is it? A measure of how many of your drivers meet your company’s compliance requirements.

How is it calculated? It’s the current number of drivers who meet your company compliance requirements divided by your total number of drivers.

What’s the benchmark? You always need to be 100 percent compliant to ensure safety on the road and limit your company’s exposure to audits and lawsuits. The lower your number, the greater your risk when an accident occurs.

How DriverHub Helps: The platform automates many compliance-related tasks and the Dashboard puts your percentage of drivers in compliance and compliance over time front and center to ensure your team is always aware of this all-important KPI.

Do Not Dispatch

What is it? The number of drivers who have a missing or expired critical record.

How is it calculated? It’s a tally of drivers who are on your do-not-dispatch list.

What’s the benchmark? Your goal should be a big fat zero — or as close to it as possible.

How DriverHub Helps: When a truck is sitting idle you’re losing an estimated $2,000 per day. Putting this essential metric in your team’s face helps you avoid situations where you’re sidelining drivers and missing out on revenue. It also reduces your risk of putting someone on the road who shouldn’t be driving in the event of an accident or audit.

Upcoming Expirations

What is it? The number of driver records in your system that are nearing their expiration dates.

How is it calculated? It’s a simple count of records that have an expiration date within 60 days.

What’s the benchmark? As low as possible. Drivers with expired records are drivers who can’t get behind the wheel, so it’s important to stay on top of Upcoming Expirations

How DriverHub Helps: DriverHub automatically notifies drivers about impending expirations, and the Dashboard prominently communicates Upcoming Expirations as an extra reminder and layer of accountability for your team. Let the AvatarAssistant take care of the first 30 days and you can start calling at the 30-day mark. Managers should only worry about records expiring in seven days to start asking questions.

Recruiting Metrics

Average Marketing Cost Per Hire

What is it? Just like it sounds: How much do you spend per hire on driver marketing? That includes Facebook ads, radio spots, job board ads — anything you do to bring in driver candidates.

How is it calculated? It’s your number of hires over the last 30 days divided by your monthly marketing cost. Ask your finance department for how much you spent with your marketing/advertising partners for the month. A ballpark figure is better than nothing.

What’s the benchmark? It depends on your company’s size and hiring needs. In any case, it’s vital to monitor Average Marketing Cost Per Hire hand in hand with Number of Hires and Average Days to Hire. At some point you also may want to track All-In Cost Per Hire, which encompasses salaries for recruiting, screening and onboarding; MVRs, PSPs, background checks, drug screens and any other screening tools you use; plus advertising costs.

How DriverHub Helps: DriverHub helps streamline recruiting efforts and can reduce your per-hire cost by 50 percent. Average Marketing Cost Per Hire is featured on the Dashboard for one simple reason: You have to know how much you’re spending in the first place before you can focus on driving down your costs.

Number of Hires & Average Days to Hire

What is it? A measure of how many drivers you’ve hired in the last 30 days and the average number of days it takes you to hire someone from the initial application completion date to full-time status.

How is it calculated? It’s the number of drivers moved to full-time status over the last 30 days and the number of days they spent in onboarding divided by the number of hires made within that month.

What’s the benchmark? The ideal number of hires is based on your company’s goals, while the days-to-hire number should be less than two weeks from lead to on the road.

How DriverHub Helps: The platform makes recruiting, hiring and onboarding go as smoothly as possible for Safety Departments through AI, automation, workflows and more. Highlighting these hiring metrics boldly on the Dashboard is a no brainer, so is the option to slice and dice your recruiting data by business unit, region, location, position, job and recruiter.

Lifecycle Stages & Time in Lifecycle

What is it? A look at your hiring pipeline and the average time a candidate spends in each stage.

How is it calculated? Total count of days spent in each lifecycle, divided by the number of applicants who entered that stage.

What’s the benchmark? Two weeks or less - the only acceptable variable is if a driver is putting in their two weeks at a current employer. A micro benchmark is one day or less per stage. If it’s taking longer for candidates to progress through stages in your hiring process, you can dive in to understand what’s creating the holdup and how to get rid of it.

How DriverHub Helps: With AI, automation and workflows, DriverHub helps Safety Directors follow proven processes so they hire and onboard the right drivers as quickly as possible. Showing Lifecycle Stages & Time in Lifecycle on the Dashboard brings transparency to bottlenecks in your pipeline that need to be alleviated.

Avatar Assists

What is it? Tasks that are automatically executed in DriverHub by the AI-powered AvatarAssistant without manual intervention from you. These include verifying Medical Examiners on the National Registry, extracting data from a driver's license, emails, texts, report ordering, status changes and more.

How is it calculated? It’s a running count of automated tasks that have been completed by the AvatarAssistant over the last 30 days.

What’s the benchmark? The higher the number, the less work a human on your team is wasting on manual tasks.

How DriverHub Helps: DriverHub seamlessly incorporates AI and automation into your team’s daily routines through the AvatarAssistant. Showing this metric on the Dashboard keeps you in the loop about the time and effort Avatar is saving you.

Just like a doctor whose patient has skyrocketing blood pressure or suboptimal cholesterol levels, you need to know if your recruiting and compliance metrics are heading into unhealthy territory before it’s too late. You cannot manage what you don’t measure.
